Senoga Academy is a training initiative of Senoga Data Solutions (Pty) Ltd (registration number 2022/452821/07, VAT number 4740324381), a company registered in South Africa (“Senoga”, “we”, “us”). This policy explains what personal information we collect when you use academy.senoga.co.za (the “Site”), why we collect it, who we share it with, and the rights you have under the Protection of Personal Information Act 4 of 2013 (“POPIA”). Senoga is the responsible party for the personal information described here.
What we collect
Account and registration details. When you register as a learner we collect your name, email address, contact number, and, if you are a registered health professional, your professional council (for example HPCSA, SANC or HPCNA) and professional registration number. Registration details are optional for learners who are not registered professionals.
Learning records. Courses you enrol in, lessons completed, assessment attempts and results, certificates issued, and the dates on which these happened.
Purchase details. Orders, invoices and payment status. Card and banking details are entered directly with our payment processor, PayFast, and are never stored on our systems.
Enquiries and correspondence. Information you send us through our enquiry, booking and contact forms, or by email.
Technical data. IP address, browser type, device information and cookies needed to keep you logged in, secure the Site and understand how it is used.
Why we use it
We process personal information to: create and manage your learner account; deliver the courses, webinars and workshops you enrol in; assess your work and issue certificates; process payments and issue tax invoices; submit CPD (continuing professional development) records to the accrediting bodies where you have earned CPD points through an accredited activity; respond to enquiries and bookings; send you service messages about your enrolments; send you news about new courses and events where you have opted in (you can unsubscribe at any time); keep the Site secure and prevent fraud; and comply with our legal, tax and accreditation obligations.
The lawful bases for this processing are the performance of a contract with you, our legitimate interests in running and improving the Academy, compliance with legal obligations, and, for marketing, your consent.
CPD accreditation and reporting
Senoga Academy is an accredited CPD service provider (accreditation number MDB015/MPDP/144, issued by the South African Medical Association on behalf of the Health Professions Council of South Africa). To award CPD points we must record your professional registration number, attendance, assessment result and the activity completed, and we submit these records to the accrediting bodies as required. We keep attendance and assessment records for as long as the accreditation rules require them to be available for audit.
Who we share it with
We share personal information only where necessary: with SAMA and the HPCSA (or other applicable councils) for CPD reporting; with PayFast to process payments; with our web hosting, email and learning-platform service providers who process data on our behalf under contract; with facilitators or presenters where needed to run a workshop you have booked; and with authorities where the law requires it. We do not sell personal information.
How long we keep it
Account and learning records are kept for as long as your account is active and thereafter for as long as needed to meet accreditation audit requirements. Financial records are kept for five years as required by South African tax law. Enquiry correspondence is kept for up to two years. You may ask us to close your account at any time; some records must still be retained to meet the obligations above.
Cookies
The Site uses cookies that are necessary for it to work (for example to keep you logged in and to keep items in your cart), and may use analytics cookies to understand how the Site is used. You can control cookies through your browser settings; disabling necessary cookies will prevent parts of the Site from working.
Security
We protect personal information with appropriate technical and organisational measures, including encrypted connections (HTTPS), access controls, regular backups and security monitoring. No system is completely secure, and we will notify you and the Information Regulator of any breach that affects you, as POPIA requires.
Your rights
Under POPIA you may: ask what personal information we hold about you and request a copy; ask us to correct or delete it; object to processing based on our legitimate interests; withdraw consent to marketing at any time; and lodge a complaint with the Information Regulator (South Africa) at inforegulator.org.za. To exercise these rights, contact our Information Officer using the details below. We may need to verify your identity before acting on a request.
Children
The Site is intended for adults. We do not knowingly collect personal information from anyone under 18.
Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last changed, and material changes will be announced on the Site.
